What is a CRM, and what does a small business really need?

A CRM - customer relationship management - is the system that remembers your clients so you do not have to. Instead of contact details in your phone, project notes in a document, invoices in a spreadsheet, and approvals buried in email, a CRM keeps one record per client with the full history attached to it.

Most CRMs were built for sales teams with pipelines, lead scoring, and quotas. That is the wrong shape for a freelancer or a small business. You are not managing a hundred leads through seven stages - you are managing a handful of real clients, and the work that actually pays you is the proposal, the contract, the invoice, and the follow-up. A CRM that stops at the contact record leaves you doing all of that somewhere else.

TechoStop takes the useful half of a CRM - one place per client, with the whole relationship attached - and adds the paperwork you bill with. The same client record holds their proposals, signed documents, invoices, projects, meetings, and chat history. And each client gets a login to a portal where they can see their own files, pay their invoices, and book time with you.

Why freelancers and small businesses outgrow spreadsheets

One client, one record

Contact details, projects, proposals, invoices, files, and conversation history sit on the same client - not scattered across a phone, a drive, and an inbox.

Stop rebuilding the same paperwork

Proposals and invoices are built from your saved details and templates, so a new job is a few edits rather than an hour in a word processor.

Know exactly who owes you

Every invoice tracks what was billed, what was paid, and what is still outstanding - with partial payments recorded and currencies kept separate.

No more “can you resend that?”

Clients open their own portal to find invoices, documents, and files whenever they need them, instead of asking you to dig through email.

A record you can defend

Proposals capture an explicit accept or decline, and e-signed documents keep a signed copy - so approvals are evidence, not a chat message you hope you kept.

Grows into a team when you do

Start solo. Add employees, attendance, payroll, and task assignment later without migrating to a different product.

How to set up your CRM in five steps

  1. Add your first client. Create a client record with their contact details and company. This becomes the spine everything else hangs off - projects, invoices, documents, and messages all attach to it.
  2. Invite them to their portal. Send an invitation and your client gets a login to a portal branded to your business, where they can see their invoices, documents, proposals, and projects - only ever their own.
  3. Send a proposal and get a decision. Build a proposal from sections you control, share it to the portal or by email, and let the client accept or decline it. The answer is recorded against the proposal with a timestamp.
  4. Invoice the work and record payments. Turn accepted work into an invoice, add GST or multiple named tax rates if you need them, download a PDF or email it, then record payments as they arrive - including partial ones.
  5. Keep the conversation in one thread. Message clients inside the portal so the discussion sits beside the work it refers to, rather than in an inbox nobody can search six months later.

Frequently Asked Questions

How much does the TechoStop CRM cost?

Plans start at a regular ₹299 per month, with a launch offer often running below that. Every plan is a working system rather than a trial - you can add clients, send invoices and proposals, share documents, and give clients portal access. Usage limits are listed in full on the pricing page.

What makes this different from a normal CRM?

Most CRMs manage contacts and sales pipelines, then stop. You still need separate tools to send a proposal, get a contract signed, raise an invoice, and share files. TechoStop keeps the client record and all of that paperwork in the same place, and gives the client a portal to see their side of it.

Is it suitable for a freelancer working alone?

Yes - that is the core case it is designed for. You can run it solo with just clients, proposals, and invoices, and ignore the team features entirely. If you later hire, employees, attendance, and payroll are already there, so you are not forced to migrate to a different product.

Can my clients see each other's information?

No. Each client only ever sees their own invoices, documents, proposals, and projects. That separation is enforced in the database with row-level security, not by hiding parts of the interface, so it holds even if someone goes looking.

Do I need to install anything?

No. TechoStop runs in a web browser, and your clients open their portal in a browser too - there is nothing for them to install. It works on phones as well as desktops.

Can I use it for GST invoicing in India?

Yes. You can store your GSTIN against your business, switch GST on for an invoice, and add multiple named tax rates when a job needs more than one. You can also invoice in other currencies if you work with overseas clients.

What happens to my data if I stop paying?

Your data is not deleted. If your subscription lapses, your workspace locks until you reactivate a plan, and everything is exactly as you left it when you come back. Downgrading between paid plans keeps you working within the lower plan's limits.
